Cancellation Policy
1. Cancellation by the Hirer
We understand that circumstances can change. If you need to cancel your booking, the following cancellation terms will apply.
All cancellations must be made in writing (by email) and will take effect from the date we receive your written notice.
2. Cancellation Charges
Cancellation charges are calculated based on the number of days before the hire start date and the total hire charge, as follows:

More than 60 days before the hire start date :
No cancellation charge will apply. Any amounts paid will be refunded in full. -
Between 60 days and 30 days before the hire start date :
A cancellation charge of 50% of the total hire charge will apply. -
Less than 30 days before the hire start date
The full hire charge 100% will be payable.
3. Refunds
Where a refund is due, it will be processed using the original payment method. Please allow a reasonable period for refunds to be completed.
4. Failure to Collect / No-Show
If the motorhome is not collected on the agreed start date and no prior written cancellation has been received, the booking will be treated as a late cancellation, and no refund will be issued.
5. Early Returns
No refunds will be given for early returns or unused hire days once the hire period has commenced.
6. Cancellation by Us
In the unlikely event that we need to cancel your booking due to circumstances beyond our control (for example, vehicle unavailability caused by damage, accident, or mechanical failure), we will:

Offer a suitable alternative where possible, or
-
Provide a full refund of all monies paid
No additional compensation will be payable beyond the hire charges already paid.
7. Travel Insurance
We strongly recommend that all hirers take out appropriate travel insurance to cover cancellation due to illness, travel disruption, or other unforeseen circumstances.
Payment & Booking Deposit Policy
1. Booking Payment
To secure a booking, a booking deposit is required at the time of reservation. A booking is not confirmed until the deposit has been received and written confirmation has been issued.
The remaining balance of the hire charge must be paid in full no later than 28 days before the hire start date, unless otherwise agreed in writing.
2. Late Bookings
For bookings made within 60 days of the hire start date, the full hire charge is payable at the time of booking.
3. Security Deposit
A security deposit is required prior to the commencement of the hire period. The security deposit is held as a guarantee against potential costs, including but not limited to:

Damage to the motorhome or its contents
-
Insurance excess
-
Cleaning beyond reasonable use
-
Late return charges
-
Fuel shortages or missing equipment
4. Security Deposit Collection & Return
The security deposit will be bank transferred, pre-authorised or collected prior to vehicle handover.
Subject to a satisfactory inspection of the motorhome at the end of the hire period, the security deposit will be released or refunded within a reasonable timeframe. Please note that bank processing times may vary.
5. Additional Charges
Any additional charges incurred during the hire period (including damage costs, cleaning charges, penalties, or optional extras added during the hire) may be deducted from the security deposit. Where charges exceed the security deposit, the hirer remains responsible for the outstanding balance.
6. Payment Methods
Payments can be made using the accepted payment methods shown at checkout. All payments must be made in the currency stated at the time of booking.
7. Non-Payment
Failure to pay the outstanding balance or provide the required security deposit by the due date may result in cancellation of the booking in accordance with our Cancellation Policy.
Security Deposit & Additional Charges Policy
1. Security Deposit Purpose
A security deposit of £1000 is required prior to the start of the hire period. The security deposit is held as a safeguard against potential additional costs that may arise during or after the hire, including damage, excessive cleaning, or failure to meet return conditions.
The security deposit is not a charge, but a refundable amount, subject to the motorhome being returned in the agreed condition.
The £1000 security deposit is refunded if the vehicle is returned in the agreed condition.
2. Security Deposit Collection & Return
The security deposit will be bank transferred, pre-authorised or collected prior to vehicle handover.
Following the return of the motorhome, it will be inspected. Provided the vehicle is returned in a satisfactory condition and in line with the rental agreement, the security deposit will be released or refunded within a reasonable timeframe. Please note that bank processing times may vary.
3. Use of the Security Deposit
The security deposit may be used, in full or in part, to cover costs including (but not limited to):

Damage to the motorhome or its contents

Insurance excess
-
Cleaning required beyond reasonable use
-
Late return charges
-
Missing equipment
-
Fuel, gas, or toilet cassette not returned as required
-
Unauthorised pets or smoking inside the vehicle
-
Administrative costs relating to penalties or breaches of the rental agreement
Where costs exceed the security deposit amount, the hirer remains responsible for the outstanding balance.
4. Additional Charges
Additional charges may apply where the motorhome is not returned in the agreed condition or terms of hire are not met.
Examples of situations where additional charges may apply include:

Late Return
Where the motorhome is returned later than the agreed time without prior approval. -
Cleaning
Where the vehicle requires cleaning beyond reasonable domestic use, including interior, exterior, or specialist cleaning. -
Toilet Cassette
Where the toilet cassette has not been emptied and cleaned prior to return. -
Fuel & Gas
Where fuel or gas levels are lower than required under the rental agreement. -
Smoking
If smoking occurs inside the motorhome during the hire period. -
Unauthorised Pets
If a pet is brought into the motorhome without the appropriate pet option being selected. -
Penalties & Fines
Including parking fines, speeding penalties, or congestion charges incurred during the hire period. -
Failure to Return Vehicle to Agreed Location

Any costs incurred in recovering the motorhome.
Charges will be calculated based on the cost incurred to remedy the issue, together with a reasonable administration fee where applicable.
Additional Charges Guide
The following charges may apply if the motorhome is not returned in the agreed condition. All charges are applied only where necessary and reflect the cost incurred.

Late Return - From £50 per hour (or part hour)

Additional Cleaning - £150, depending on condition

Toilet Cassette Not Emptied - £150

Fuel Refill - Cost of fuel plus £50 administration fee

Smoking Inside the Motorhome - £300 specialist cleaning charge

Failure to Return to Agreed Location - Cost of recovery plus any applicable hire charges
5. Notification of Charges
Where possible, the hirer will be notified of any additional charges identified during or after vehicle inspection. Supporting details may be provided upon request.
6. Fair Wear and Tear
Normal wear and tear is expected and will not result in charges. Additional charges apply only where damage, excessive wear, or cleaning requirements go beyond reasonable use.
7. Relationship to Other Policies
This policy forms part of the overall Terms & Conditions and should be read alongside the Payment & Deposit Policy and Cancellation Policy.
Vehicle Use Policy
1. Permitted Use
The motorhome must be used solely for private leisure purposes and in a responsible manner. It must be driven and cared for in accordance with this policy, the rental agreement, and all applicable laws and regulations.
The motorhome must not be used for any commercial purpose unless expressly agreed in writing.
2. Authorised Drivers
Only drivers who are named on the rental agreement and approved by us are permitted to drive the motorhome.
The hirer is responsible for ensuring that all authorised drivers meet the driver requirements outlined in our Driver Requirements Policy.
3. Geographic Restrictions
Unless otherwise agreed in writing:

The motorhome may be used within the UK mainland
-
Travel to Northern Ireland, the Republic of Ireland, or mainland Europe is permitted only where the appropriate option has been selected at the time of booking
-
The motorhome must not be taken outside the agreed travel area
Failure to comply with geographic restrictions may invalidate insurance cover.
4. Road & Terrain Use
The motorhome must be driven only on public, surfaced roads suitable for vehicles of its size and weight.
The motorhome must not be used:

Off-road
-
On unmade or unsuitable tracks
-
On beaches, sand dunes, or rough terrain
The hirer is responsible for any damage caused by inappropriate road or terrain use.
5. Festivals & Events
Use of the motorhome at festivals, music events, sporting events, or similar gatherings is permitted only with prior written approval. Additional conditions may apply.
6. Smoking & Vaping
Smoking or vaping inside the motorhome is strictly prohibited at all times.
If evidence of smoking or vaping is found, a specialist cleaning charge will apply in accordance with our Security Deposit & Additional Charges Policy.
7. Pets
Pets are permitted only where the appropriate pet option has been selected at the time of booking.
The hirer is responsible for ensuring pets do not cause damage or excessive cleaning requirements. Any additional cleaning or damage costs may be deducted from the security deposit.
8. Passenger Limits
The motorhome must not carry more passengers than the number of seatbelts fitted and approved. All passengers must use seatbelts at all times when the vehicle is in motion.
9. Care of the Vehicle
The hirer agrees to:

Take reasonable care of the motorhome and its contents

Regularly check fluid levels and warning indicators
-
Keep the motorhome secure when unattended
-
Report any faults, damage, or warning lights promptly
The motorhome must not be modified in any way.
10. Prohibited Activities
The motorhome must not be used:

For racing, towing, or speed testing
-
For carrying hazardous, illegal, or flammable goods
-
In any manner that invalidates insurance cover
-
While under the influence of alcohol, drugs, or medication that impairs driving
11. Breach of Policy
Failure to comply with this Vehicle Use Policy may result in:

Termination of the hire agreement
-
Loss of insurance cover
-
Charges being applied via the security deposit
-
Liability for any resulting damage or costs
12. Relationship to Other Policies
This policy forms part of our overall Terms & Conditions and should be read in conjunction with our Insurance & Excess Policy, Driver Requirements Policy, and Security Deposit & Additional Charges Policy.
Insurance and Excess Policy
1. Insurance Cover
Comprehensive motor insurance is included for the duration of the hire period, subject to the terms and conditions of our motor insurance provider.
The insurance covers authorised drivers only and applies while the motorhome is being used in accordance with our rental agreement and Vehicle Use Policy.
2. Excess
All insurance claims are subject to an insurance excess. The excess amount is the maximum contribution the hirer may be required to pay in the event of a claim.
The excess amount will be £1000 which will be clearly communicated at the time of booking and forms part of the rental agreement.
4. What Is Covered
Insurance cover typically includes damage to the motorhome and third-party liability, subject to the insurer’s policy terms and exclusions.
Cover applies only when:

The motorhome is driven by an authorised driver
-
The vehicle is used responsibly and legally
-
All rental terms and policies are followed
5. What Is Not Covered
Insurance cover does not apply in certain situations, including but not limited to:

Damage caused by unauthorised drivers
-
Use outside agreed geographic areas
-
Off-road or unsuitable terrain use
-
Driving under the influence of alcohol, drugs, or impairing medication
-
Negligence or reckless driving
-
Damage to the interior caused by misuse
-
Personal belongings
-
Tyre, windscreen, underbody, or roof damage (unless otherwise stated)
-
Costs arising from incorrect fuel use
Any costs not covered by insurance remain the responsibility of the hirer and may be deducted from the security deposit.
6. Accidents & Damage
In the event of an accident, damage, or incident:

The hirer must notify us as soon as reasonably possible

Full details must be provided, including photographs where applicable
-
A police report must be obtained where required by law or the insurer
Failure to follow these steps may affect insurance cover.
7. Relationship to the Security Deposit
The security deposit may be used to cover:

Insurance excess
-
Uninsured losses
-
Damage not covered by insurance
-
Administrative costs associated with claims
Where costs exceed the security deposit, the hirer remains liable for the balance.
8. Full Policy Wording
This policy provides a summary of insurance arrangements only. Full insurance policy wording is held by us and is available upon request.
All hires remain subject to the insurer’s full terms, conditions, and exclusions.
9. Relationship to Other Policies
This Insurance & Excess Policy should be read alongside our Vehicle Use Policy, Security Deposit & Additional Charges Policy, and Driver Requirements Policy.
Identification Policy
To ensure the safety and security of our vehicles, all hirers and drivers are required to provide valid identification before the hire period begins.
1. Required Documents
Prior to vehicle collection, the lead hirer and all named drivers must provide the following original documents:
a) Proof of Address
Two proofs of address are required from the list below:

Utility bill (electricity, gas, water, broadband, or landline)

Council tax bill (annual statement accepted)

Bank or credit card statement
-
Mortgage statement
-
HMRC correspondence

Payslip
-
Mobile phone bill
All documents (except annual council tax bills) must be dated within 90 days of the hire start date. The name and address must match the driving licence.
b) Driving Licence
A current and valid driving licence must be provided for all drivers. Licence details and address must be up to date.
UK licence holders are required to provide a DVLA licence check code, valid on the first day of hire. This can be obtained from the DVLA website.
c) Photographic Identification
Valid photographic ID is required (passport preferred).
2. Verification Process
All documents will be checked prior to vehicle handover. Failure to provide the required documentation may result in the hire being refused.
In such cases, the booking may be treated as a late cancellation, and payments or deposits may be forfeited in line with our Cancellation Policy.
3. Accuracy of Information
All information provided must be accurate and belong to the named hirer or driver. Providing false or misleading information may result in refusal of hire.
4. Data Protection
All personal information is handled in accordance with our Privacy Policy and used solely for verification and legal compliance purposes.
